1. Who we are
SilverKeysStays LTD ("we", "us", "our") is a short-let and Airbnb management company based in Cambridge, England, registered in England and Wales. We are the data controller for the personal data described in this policy. You can contact us at silverkeystays@gmail.com or on 07955623572.
2. The data we collect
- Enquiry data — your name, email address, telephone number, property postcode, property details (bedrooms, type, current letting situation), how you heard about us, and any message you send us through our contact form or by email or phone.
- Client data — where you become a client, information needed to deliver the service, such as property addresses, access details, compliance certificates, bank details for payouts and correspondence records.
- Technical data — IP address, browser type, device information and pages visited, collected through our website and any analytics tools we use.
We do not knowingly collect data from children, and we do not collect special category data through this website.
3. How and why we use your data
- To respond to your enquiry and prepare a rental estimate — our legitimate interest in responding to prospective clients, and steps taken at your request prior to entering a contract.
- To provide and administer our management services — performance of a contract.
- To meet legal, tax, safety and insurance obligations — compliance with a legal obligation.
- To improve our website and service, and to send occasional relevant updates where you have not objected — our legitimate interests. You may opt out at any time.
We do not sell your personal data, and we do not use automated decision-making that produces legal effects concerning you.
4. Sharing your data
We share data only where necessary, with: booking platforms (Airbnb, Booking.com, Vrbo) where a listing is created for your property; housekeeping, maintenance and compliance contractors engaged for your property; our accountants, insurers and professional advisers; and IT, hosting, email and analytics providers acting as processors on our behalf. We may also disclose data where required by law or a regulator.
5. International transfers
Some of our service providers are based outside the UK. Where personal data is transferred internationally, we rely on UK adequacy regulations or the International Data Transfer Agreement / Addendum with appropriate safeguards.
6. How long we keep it
Enquiries that do not become clients are kept for up to 24 months. Client records are kept for the duration of the relationship and for six years afterwards to meet legal, tax and insurance requirements. Technical and analytics data is typically retained for up to 26 months.
7. Cookies and third-party tools
Our website uses cookies and similar technologies that are strictly necessary for the site to function, and may use analytics cookies to understand how the site is used. Non-essential cookies are only set where you consent. You can block or delete cookies through your browser settings, though parts of the site may not work as intended. Third-party tools we may use include website hosting and performance providers, form handling services, and analytics platforms — each processes limited data under its own privacy notice.
8. Security
We use appropriate technical and organisational measures, including access controls, encryption in transit and limiting access to those who need it, to protect your data against unauthorised access, loss or misuse.
9. Your rights under UK GDPR
You have the right to be informed; to access your data; to rectification; to erasure; to restrict processing; to data portability; to object to processing based on legitimate interests or direct marketing; and to withdraw consent where processing relies on it. To exercise any right, email silverkeystays@gmail.com. We will respond within one month.
If you are unhappy with how we have handled your data, you may complain to the Information Commissioner's Office (ico.org.uk), the UK supervisory authority.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be published on this page with a revised date.
